Welcome to Broker Buddy. We understand that theprivacy of your information and your client’s information is important. We alsounderstand that a relationship is built on trust, so we aim to be open andtransparent with you about Broker Buddy’s information handling practices.Broker Buddy ("Broker Buddy," "we," "us," or"our") is owned by Buddy Software Solutions Pty Ltd. This privacy policyexplains how Broker Buddy collects, uses, disclosures, and secures yourinformation when you use our website, software and AI agents, and relatedservices (collectively, the "Service").

By using our Service, you consent to our informationhandling practices in accordance with this policy.

2. The Information We Collect

We collect information in a few different ways toprovide and improve our Service for you.

A. Information You Provide to Us Directly:

  • Account Information: When you register for an account, we collect information like your full name, email address, company name, and password
  • Payment Information: When you subscribe to our Service, our third-party payment processor will collect your payment details such as debit card or credit card information. We do not store your full payment credit card details on our servers.
  • Communications: If you contact us for support, to provide feedback, or for any other reason, we will collect your name, email address, contact number and the content of your message.

B. Your User Content:

This is the data you enter, upload or create within our Service, such as client business information, insurer quotes, and the content of generated profiles and proposals ("User Content").

  • We treat your User Content as strictly confidential. We do not "collect" this information for our own purposes; we act as a data processor on your behalf.
  • Our access to this User Content is limited to what is necessary to provide the Service to you (e.g., processing it to generate a proposal) or to provide technical support at your request.

C. Information We Collect Automatically:

  • Usage Data: Like most websites and services, we automatically collect information about how you interact with our Service. This may include your IP address, browser type, pages you have viewed within our site, and the time and date of your visit, and other diagnostic data.
  • Cookies and Tracking Technologies: We use cookies and similar technologies to operate and track activity on our Service and hold certain information. Cookies are files with a small amount of data which may include an anonymous unique identifier. You can instruct your browser to refuse all cookies or to indicate when a cookie is being sent. We use the information we collect for specific purposes, including but not limited to:

  • To Provide and Maintain our Service: To operate our platform, manage your account, process your subscriptions, and allow you to use the features of our Service you choose to purchase.
  • To Communicate With You: To send you important service-related notices (like updates to our Terms or security alerts), respond to your support requests, and  send you marketing communications about new features or products (you can opt-out of any of our marketing at any time).
  • To Improve Our Service: We may use anonymised and aggregated Usage Data to understand how our users interact with the Service. This helps us to improve the user experience, develop new features and fix bugs. This data cannot be used to identify you or your clients.

We are not in the business of selling data to external businesses. We share your information only in certain circumstances described below:

  • Third-Party Service Providers: We partner with trusted third-party companies to help us operate our Service, such as payment processors, cloud hosting providers (e.g., Amazon Web Services), and analytics services. These providers are given access to your information only to perform these tasks on our behalf and are obligated to not disclose or use the data for any purpose other than to deliver the service.

  • Business Transfers: In the event Broker Buddy is party to a merger, acquisition, or asset sale, your information may be transferred. We will provide notice before your information is transferred in the event it becomes subject to an alternate Privacy Policy.
  • With Your Consent: We may disclose your information for any other purpose with your explicit consent or as permitted under the Privacy Act 1988 (Cth).

Broker Buddy will never share or sell your confidential User Content with third parties for their own marketing orbusiness purposes.

5. Data Security

We take reasonable steps to protect your information from unauthorised access, disclosure, loss, misuse or interference through a mix of technical, administrative, and physical safeguards. These may include things like data encryption, access controls, mandatory training in respect to the handling personal information and identity verification processes.

We also review our security practices regularly and we may engage external experts to assess our security practices from time to time.

Whilst we aim is to align our security standards and information handling practices with relevant Australian cybersecurity standards and privacy laws, there are steps that you can take to remain vigilant. We also encourage you to contact us immediately if you suspect any compromise of your personal information.

6. Data Retention

We will retain your Personal Information only for as long as is necessary for the purposes set out in this Privacy Policy. We will retain and use your information to the extent necessary to comply with our legal obligations (for example, if we are required to retain your data to comply with applicable laws), resolve disputes, and enforce our legal agreements and policies. Your User Content is retained while your account is active and can be deleted by you at any time.

7. Your Privacy Rights and Choices

In line with the Australian Privacy Principles, we provide you with choices regarding your information:

  • Access and Update: You can review and update your account information at any time through your account settings to ensure it remains up to date or is incomplete or to correct any information that is incorrect.
  • Opt-Out of Communications: You can opt-out of receiving marketing emails from us by clicking the "unsubscribe" link at the bottom of the email.
  • Export Your Data: You have the right to export your User Content from the Service.
  • Account Deletion: You can request to delete your account by contacting us. Please note that some information may be retained in our backups or archives for a reasonable period for legal or compliance purposes only.

8. International Data Transfers

Our data hosting facilities reside in Australia, however some of our third-party providers do operate globally. As such your information, including Personal Information, may be disclosed and stored on computers located outside of Australia where the data protection laws may differ from Australia. We will always take all steps reasonably necessary to ensure that your data is treated securely and in accordance with this Privacy Policy.

9. Children's Privacy

Our Service is not intended for use by anyone under the age of 18 ("Children or Minors"). We do not knowingly collect personally identifiable information from children or Minors. 10. Changes to This Privacy Policy

We may update our Privacy Policy from time to time. In the event we do we will notify you of any changes by posting the new Privacy Policy on this page and updating the "Last Updated" date. We will provide a more prominent notice (such as an email or in-app notification) for any material changes.
